waai's Biggest Update Yet: Bookings, Catalog, and CRM — All Inside WhatsApp
waai now books appointments against real availability, takes stock-aware orders in chat, and shows you which Facebook ads actually turn chats into revenue. Here's what's new and what it means for your business.
Until now, waai answered for you. It replied in seconds, guided customers through flows, escalated to your team when needed. That already saved businesses hours every day — but the actual work (booking the appointment, taking the order, knowing which customer came from which ad) still happened somewhere else.
Today that changes. waai has shipped its three biggest features yet — a booking engine, a product catalog with live stock, and a CRM with Facebook ads attribution. Your WhatsApp agent doesn’t just talk to customers anymore; it runs a chunk of your operations.
TL;DR
- Bookings: customers book, reschedule, and pay deposits in chat — against your real availability. No double-bookings, fewer no-shows.
- Catalog: browse products with photos in chat, order with variants, and never oversell — stock is reserved the moment an order is placed.
- CRM: every chat becomes a contact, and you see exactly which Facebook ads bring WhatsApp leads and revenue (ROAS and cost per lead included).
- All three are on Pro and Custom plans. Contacts CRM is on every plan, including the free trial.
Bookings: not a calendar link — an engine
Most “WhatsApp booking” tools send your customer a link to a booking page. The customer leaves the chat, opens a webpage, and hopes the time they pick is still free. waai’s booking system does the actual scheduling inside the conversation.
Every slot offered is genuinely open. Behind the scenes, availability is computed in real time: staff working hours, minus holidays, minus existing bookings, minus your team’s Google Calendar busy blocks. If Mary is off on Tuesday, Tuesday doesn’t get offered. Import your country’s public holidays in one click and they’re blocked automatically — for all branches or just one.
A booking in two messages. With Smart Booking AI, a customer types one sentence — “facial with Mary on Tuesday around 4pm” — and the agent matches the service, the stylist, and finds the nearest genuinely free slot. One “YES” back and it’s booked. If your customer prefers menus, the classic numbered-slot flow is still there, and customers can view, reschedule, or cancel their bookings themselves, any time.
No-shows get expensive to commit. Attach a deposit to any service and the agent requests it in chat. Automatic reminders go out before every appointment (24 hours and 2 hours by default) as approved WhatsApp templates, so they arrive even outside the 24-hour messaging window. When the customer walks in, a QR code checks them in. Every confirmed booking can also generate a branded PDF receipt, mirrored to Google Drive.
And because it’s a system, not a link, you get analytics: projected revenue, completion and no-show rates, per-branch and per-staff revenue, top services, peak hours.
Catalog: your shop, inside the chat
If you sell products — food, retail, spare parts, anything with a shelf count — the new Catalog turns WhatsApp into a storefront with an honest inventory.
Customers browse categories, see products with photos, descriptions, and prices, and pick variants — size, colour, SKU — each with its own stock count. When they ask “do you have this in large?” the answer comes from real numbers, not optimism.
The stock engine cannot oversell. The instant an order is placed, those units are reserved for that customer — nobody else can order them. Confirm the order and stock is deducted; cancel it and stock restocks itself automatically. Every movement is recorded in a ledger you can review, and low-stock alerts reach you by email and mobile push before you run dry. When you’re down to the last few units, the agent can say so — “only 3 left” — which happens to be the most effective urgency message there is, because it’s true.
Orders flow through a simple pipeline — New → Confirmed → Fulfilled — grouped per customer, with notes and order history your customer can check in chat (“My Orders”) any time.
CRM: know which chats become revenue
Two things every business with a WhatsApp number eventually asks: who is this customer? and is my ad spend actually working? The new CRM answers both.
A CRM that fills itself. Every person who messages you becomes a contact — automatically, deduplicated by phone number, with their full conversation history, bookings, and orders attached. Tag them, group them into lists, add custom fields. This part is included on every plan, including the free trial.
Ads attribution that survives the click. If you run click-to-WhatsApp ads on Facebook, waai captures the ad click on each contact’s first message. From then on you can see, per campaign: ad spend, how many WhatsApp conversations it started, attributed revenue, ROAS, and cost per lead. Better yet, waai reports leads and purchases (a confirmed booking or catalog order, with its actual value) back to Facebook automatically — so Meta optimizes your campaigns toward real revenue instead of hollow clicks.
Automations that follow up. New Zapier-style rules: when something happens, waai takes actions. Sixteen triggers — booking confirmed, order placed, contact tagged, email collected, and more — each can notify your team (email + mobile push), add or remove tags, add the contact to a list, report a conversion to Facebook, or POST a JSON webhook to anywhere (hello, Zapier and Google Sheets bridges).
Why these three together
Individually, each feature saves time. Together they close a loop that used to require three or four separate tools:
- Your Facebook ad starts a WhatsApp conversation (attributed automatically).
- The agent answers, then books the appointment or takes the order — with real availability and real stock.
- The purchase is reported back to Facebook, the contact is tagged, your team is notified.
- Next campaign, you target the tag — and watch the ROAS.
Run ads → chat → revenue → better ads. All from one dashboard.
Availability and limits
Bookings, Catalog, and CRM are available on Pro and Custom plans starting today. On Pro, that includes 500 bookings/month across 5 branches and 20 services, 100 catalog products, and 30,000 contacts (Custom is unlimited on all counts). Existing customers can switch plans self-serve with proration — and if you’d rather have us set it up, Optional Onboarding Assistance covers it.
The fastest way to see it working is the free trial — no credit card required. And if you take just one thing from this post: your customers are already typing booking requests and order questions into WhatsApp right now. As of today, waai can actually handle them.
